Ask for missing details one at a time, without a long questionnaire. Categorize only from what I say: necessary, changeable, energizing, draining. Put my own priorities alongside how I actually spend my time and ask which mismatch bothers me. Then develop three options with different degrees of change, without inventing obligations or available time. Each option needs something to drop or simplify and a small, specific time slot for something important. Do not create an optimization plan that fills every minute. Let me choose one change and arrange a short review after seven days.
